Data controller and processor

[Provisional — pending specialist review] The organisation who sent you the link to complete a profiling session determines why your data is collected and what happens to the results; in data protection terms, they act as the data controller. KnowYourProspect processes your data on their instructions and behalf, acting as data processor. Any request about the lawful basis for processing, or to exercise your data protection rights, should be directed to that organisation in the first instance; KnowYourProspect will support them in responding.

Data we collect

• Stage rankings and comparison votes — captured during each of the four profiling stages, linked only to the session token issued by the subscribing organisation; used to generate that organisation's analysis
• Enquiry reference and client identifier — used to link a session to the subscribing organisation's records and for usage metering against their subscription tier
• Organisation email address — supplied by the organisation in their own account configuration, not collected from participants; used to deliver the completed analysis report to the organisation
• Transactional email logs — records of when reports were sent, to which organisation address, and delivery status; used for billing verification and dispute resolution

Data we do not collect

• No participant name, email address, phone number, or postal address, at any time. Participants are identified only by a session token generated by the subscribing organisation; KnowYourProspect has no means of identifying a participant directly
• No user accounts or passwords
• No cookies. A single browser-local preference (light/dark display mode) is stored via localStorage/sessionStorage on your device; this never leaves your device and is not accessible to us
• No location data or device fingerprinting
• No data beyond what is explicitly listed above

Who has access to your data

Session data (rankings, stage responses, linked only to your session token) is accessible only to the specific organisation who sent you the link. Your data is never shared between different organisations, sold, or used for any purpose other than that organisation's analysis of it.

Your results are shown to you once, on your own device, as a real-time on-screen render. This is a one-time display: KnowYourProspect does not store, retain, or email a copy of your results to you. If you want to keep a copy, you should save, print, or screenshot it at the time.

Organisation-facing reports (the analysis derived from your rankings) are retained by KnowYourProspect for the organisation's use and our own records.

Automated processing

The system generates preference rankings from participant responses. No solely automated decisions are made that produce legal or similarly significant effects; a person at the subscribing organisation interprets and acts on the results.

How long we keep your data

• Session rankings and stage results (linked only to your session token): deleted after 60 days via automated process, giving the organisation time to act on the findings
• Organisation-side usage logs (number of sessions completed, incomplete sessions): deleted after 120 days
• Report source copies (retained solely to allow the organisation to request a reissued copy if theirs is lost): deleted after 120 days
• Demo session data (no real session data; deleted as a routine safety-net cleanup): deleted after 7 days
• Transactional email logs (delivery records to the organisation): retained for 12 months for billing verification
• Hosting-level access logs (IP address, timestamp, URL requested): retained by our hosting provider Krystal per their standard practices; not actively deleted by KnowYourProspect

How data is deleted

An automated daily process deletes session rankings, usage logs, report source copies, and demo session data on their respective schedules. Deletion is permanent and unrecoverable.

Confidentiality guarantee

Your data is treated as confidential business information of the organisation who sent you the link. We will not share your rankings or responses with other organisations, other participants, or any third party. This is not part of our business model.
